Understanding cancellation terms for exhibitions, booth bookings, and marketplace transactions

Important Notice

CollectNDeal acts solely as a facilitator platform. Cancellation policies for exhibitions, booth bookings, and event-related services are primarily determined by individual exhibition organisers. This policy outlines our platform's role and general guidelines, but specific terms may vary by event.

1. Exhibition Cancellations by Organisers

Organiser-Initiated Cancellations:

  • Exhibition organisers may cancel events due to unforeseen circumstances, insufficient registrations, or force majeure events
  • Organisers are responsible for notifying all registered participants at least 7 days before the event date (where possible)
  • CollectNDeal will facilitate communication between organisers and affected participants
  • Refund processing is the responsibility of the exhibition organiser, not CollectNDeal

Platform Responsibilities:

  • Provide notification systems to inform registered participants
  • Assist in facilitating communication between parties
  • Maintain records of cancellation notifications
  • Support dispute resolution processes where appropriate

2. Booth/Stall Booking Cancellations

Participant-Initiated Cancellations:

  • More than 30 days before event: Cancellation terms as defined by the exhibition organiser
  • 15-30 days before event: Typically subject to cancellation fees (varies by organiser)
  • Less than 15 days before event: Generally non-refundable (organiser discretion)
  • Day of event: No refunds typically available

Note: Specific cancellation timeframes and fees are determined by individual exhibition organisers and will be clearly displayed during the booking process.

Cancellation Process:

  1. Submit cancellation request through your CollectNDeal account dashboard
  2. Provide booking reference number and reason for cancellation
  3. CollectNDeal will forward your request to the exhibition organiser
  4. Organiser will review and respond according to their cancellation policy
  5. Any applicable refunds will be processed by the organiser

3. Ticket Cancellations

General Ticket Cancellation Policy:

  • Ticket cancellation policies are set by individual exhibition organisers
  • Most exhibition tickets are non-refundable once purchased
  • Some organisers may allow transfers to future events or different attendees
  • Cancellations due to medical emergencies may be considered on a case-by-case basis

Special Circumstances:

  • Event Cancellation: Full refunds typically available if organiser cancels
  • Date Changes: Tickets usually remain valid for rescheduled dates
  • Venue Changes: Refunds may be available if new venue is significantly different
  • Force Majeure: Refund policies vary by organiser and circumstances

4. E-Shop Marketplace Cancellations

Order Cancellations:

  • Before Payment: Orders can be cancelled without penalty
  • After Payment, Before Dispatch: Cancellation possible, subject to seller's policy
  • After Dispatch: Cancellation not possible; return policy applies
  • Digital Items: Generally non-cancellable once delivered

Seller Cancellations:

  • Sellers may cancel orders due to stock unavailability or pricing errors
  • Full refunds will be processed for seller-initiated cancellations
  • CollectNDeal will facilitate communication and refund processing
  • Repeated seller cancellations may result in account restrictions

5. Platform Service Cancellations

CollectNDeal Platform Services:

  • Exhibition Management Tools: 30-day notice required for subscription cancellations
  • Premium Features: Pro-rated refunds available for annual subscriptions
  • Technical Support Services: Can be cancelled with 7 days' notice
  • Marketing Services: Cancellation terms vary by service type

Account Closure:

  • Users may close their accounts at any time
  • All pending transactions must be completed before closure
  • Data retention policies apply as per our Privacy Policy
  • Reactivation may be possible within 90 days of closure

6. Force Majeure and Exceptional Circumstances

In cases of force majeure events (natural disasters, government restrictions, pandemics, etc.), special cancellation provisions may apply:

  • Government-mandated event cancellations typically result in full refunds
  • Travel restrictions may qualify for special consideration
  • Health emergencies will be evaluated on a case-by-case basis
  • Documentation may be required to support force majeure claims
  • CollectNDeal will work with organisers to find fair solutions for all parties

7. Dispute Resolution

Cancellation Disputes:

  • Contact our support team at support@collectndeal.com for assistance
  • Provide all relevant documentation and correspondence
  • CollectNDeal will mediate between parties where appropriate
  • Final decisions on refunds rest with exhibition organisers or sellers

Escalation Process:

  1. Initial contact with the relevant organiser or seller
  2. Escalation to CollectNDeal support team
  3. Formal mediation process (if required)
  4. Legal resolution through appropriate courts (as last resort)
